Terms of service

These terms are between Iceberg AI Solutions (“we”) and the business that signs up for IceCEO (“you”). By creating a workspace you accept them on behalf of that business, and you confirm you are allowed to. Our privacy notice explains how personal data is handled and forms part of these terms.

IceCEO reads the mailbox and WhatsApp you connect, sorts what needs you, writes a daily brief, and drafts replies in your voice. It sends a reply only when you approve it, or when an automatic-sending rule you switched on yourself allows it. It never holds the power to send by itself.

• Connect only mailboxes and WhatsApp accounts you are entitled to use, and keep your sign-in and app passwords safe.
• Read a draft before you approve it. The AI can misunderstand a message or get a fact wrong, and a reply you approve is sent as yours.
• Where the law requires it, tell the people you correspond with that an assistant helps you handle your messages.
• Do not use the service to send spam, to harass anyone, or for anything unlawful, and do not try to reach another workspace’s data.

WhatsApp is connected through WhatsApp Web, run by a small program on your own computer, not through an official WhatsApp business interface. It works only while that computer is on and the program is running. WhatsApp may restrict or ban accounts it believes are automated, and that decision is WhatsApp’s alone. We keep activity to a normal human pace to reduce the risk, but we cannot remove it, and we are not responsible if WhatsApp limits your number. Use a number you are comfortable taking that risk with.

• A workspace costs RM129.99 a month for one person, plus RM10.99 a month for each additional member. Add-ons, when offered, are priced separately.
• New workspaces start with a free 14-day trial. No card is needed to start.
• After the trial, billing falls on the 1st of each month, paid through Billplz. Prices are in Malaysian ringgit and exclude any tax that applies.
• If a payment is missed, the workspace keeps working for 7 days, then pauses until the invoice is paid. Nothing is deleted while it is paused.
• We will give you at least 30 days’ notice by email before any price change.

You can stop at any time. The service runs to the end of the month you have paid for, and we do not refund part months. You can delete your workspace yourself from Settings, which erases everything in it straight away. If you ask us to close it instead, we delete it within 30 days.

Your mail, chats and drafts are yours. We claim no rights over them beyond what we need to run the service for you. The software, design and name IceCEO are ours.

We work to keep IceCEO running and your data safe, but we cannot promise it will never be interrupted, and it depends on services outside our control: your mail provider, WhatsApp, and our hosting and AI providers. We may improve or change features; if we remove something you rely on, we will tell you first.

The service is provided with reasonable care and skill. To the extent the law allows, we are not liable for indirect losses, lost profit or lost business, or for the content of any reply you approved. Our total liability to you in any 12 months is limited to the fees you paid us in that period. Nothing here limits a right you have under Malaysian consumer law that cannot be limited.

We may suspend or close a workspace that breaks these terms or puts other clients at risk, telling you why unless the law prevents it. If we ever stop offering IceCEO, we will give you at least 30 days’ notice and a way to export your data.

These terms are governed by the laws of Malaysia, and the Malaysian courts decide any dispute. We may update them; if a change matters, we will email you at least 30 days before it applies. Questions: navien@icebergaisolutions.com.
